Privacy Policy Redept

Redept is a real estate advisor for commercial occupiers of real estate. In this context we process privacy sensitive information, also known as personal data. In some cases we do that in conjunction with other organisations or companies.

We believe that it is of great importance that personal data is handled with care. We therefore carefully process and protect personal data. In that respect we comply with the demands of the privacy legislation. That means, for instance, that we:

  • report clearly for which purposes we process personal data. We do that by means of this privacy statement;
  • limit the collection of personal data exclusively to the personal data that are needed for the purposes for which they are processed;
  • first ask you for your express permission to process your personal data in cases where your permission is required;
  • do not provide your details to third parties unless that is necessary in order to execute the requested service or where we are legally obliged to do so;
  • enter into agreements with third parties when we share your details in order to ensure that these are not used for other purposes;
  • take suitable security precautions in order to protect your personal data and also demand that from parties that process personal data on our behalf;
  • respect your right to request inspection of, to amend or to remove your personal data.

Use of personal data

In using our services and websites you leave certain details with us. That could be personal data. We do not always process all that personal data. That is dependent on what services you acquire from us and the functionality that you use on our websites. We therefore only process your CV, application letter and educational level when you apply for a position with us.

Personal details

Dependent on the services that you acquire and the functionality that you use on our websites, we can process the following personal details:

  • name
  • address
  • company details
  • telephone numbers
  • e-mail adress
  • function
  • sex
  • date of birth
  • details of rental or purchase agreements
  • details of your use of our services
  • information that you enter into an open field, such as the contact form
  • log-in details
  • technical measurements such as IP address, MAC address, identifiers in cookies and you surfing behaviour on our websites
  • CV, application letter and education level
  • copy proof of identfication

Purposes

We process the aforementioned details for one or more of the following purposes:

  • to make use of all the functionalities and services on the websites.
  • to be able to inform you about relevant information in the area of accommodation and real estate.
  • to inform you about the expiry of rental agreements.
  • to process your job application.
  • to process your complaint or your reaction to a complaint and to approach you about your complaint because we wish to investigate it.
  • to ascertain what subjects are current for our (potential) clients and hence to determine what services we can develop.
  • to communicate with you by means of sending electronic newsletters and/or post.
  • to send you personalised newsletters on the basis of your interests.
  • to answer your questions or deal with you complaints via social media, e-mail, post or by telephone.
  • to improve our websites.
  • to comply with statutory requirements, including the Prevention of money laundering and financing of terrorism act.

Distribution to third parties

We only provide your details to third parties if that is necessary for the delivery of the services you have requested. When we provide your details to third parties we ensure (with an agreement), amongst other things, that your details are not used for any other purposes. Also we agree that your details will be removed as soon as they are no longer required. Additionally we will not provide your details to any other party unless this is legally required or permitted. For example, it is possible that the Tax Service requests information from us in the context of a fraud investigation. In that case we are legally obliged to provide these details.

Profiling and cookies

We combine your personal details from various sources with each other in order to offer you information that is as relevant as possible. We also combine these details with details that you have left behind. By combining your details, we can show personalised content on the website that coincides with your interests. We can also personalise our newsletter for you in the same way. In this way we can send you better and more focused communications and prevent you seeing information that is less, or not at all, of interest to you. Security and retention

We take suitable security measures in order to limit the misuse of and unauthorised access to your personal details. We ensure that only the necessary persons have access to your details, that access to details is restricted and that our security measures are regularly checked. We retain the details no longer than necessary. In other words, we retain the details, for example, for as long as necessary to provide the required services. Exceptions to this are details that we must retain for longer because we are legally obliged to do so.

Third party websites

This statement is not applicable to third party websites that are connected to our website by means of links. We cannot guarantee that these websites deal with your personal details in a trustworthy or safe manner. Before using such a website always read the website’s privacy statement for more information over the way in which it deals with your details.

Changes to this privacy statement

We can change this privacy statement from time to time. Changes will be published on our website. We will never use your details for other purposes without permission. It is therefore advisable to regularly consult this privacy statement in order that you are aware of these changes.

Insight and changes to your details

For consultation, alterations or removal of your details you can contact Redept. In order to prevent misuse we request that when you submit a written request for insight you can properly identify yourself by including a copy of a valid means of identification. We recommend that you render unreadable your BSN and your photograph on the copy. You can, for instance, use the ‘KopieID’ app for this.

Dutch Data Protection Authority

Obviously we would be pleased to help you if you have complaints about the processing of your personal details. Despite this, should you still not be satisfied then you have the right under the privacy legislation to submit a complaint to the privacy watchdog, the Dutch Data Protection Authority.
